Multi-Role Enterprise System for Vehicle Service and Dealership Operations

TOYOTA KALLA is an official TOYOTA dealer operating under KALLA GROUP, a prominent company based in South Sulawesi, Indonesia. TOYOTA KALLA offers various automotive services, including TOYOTA vehicle sales, after-sales services such as maintenance and repairs, and the provision of genuine TOYOTA spare parts.
Problem
TOYOTA KALLA's branch network operated with dynamic, inconsistent workflows across locations, with no single product capable of handling seamless input-output processes and efficient data transfer between branches. As the project grew, it became clear that different roles across the dealership network, from service advisors to maintenance teams to branch admins, each needed their own tailored way to interact with the system, not a one-size-fits-all interface.
Process
As Project Manager and UI/UX Designer, I collaborated closely with two developers to translate branch-level pain points into a unified system. The design expanded across three phases, growing from a single inspection flow into four distinct role-based interfaces. Service Advisors manage customer interactions, loyalty tiers, and trade-in valuations. Maintenance Repair Advisors track and prioritize follow-ups through an analytics dashboard. Field staff capture vehicle condition data on the ground. Branch administrators manage everything from employee roles to promotional programs through a dedicated web panel with role-based access control.
Outcome
From a Single Fragmented Workflow to a Four-Role Platform
Earlier phases already exceeded their initial success metrics, delivering a measurable improvement in overall operational efficiency across the branch network. Phase 3 is currently in development, expanding the system into a fuller platform covering customer loyalty, trade-in valuation, and centralized branch administration.
